Executive Assistant to CEO - Remote Operations
Job Description
Our client, a dynamic and innovative technology startup operating on a fully remote basis, is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to their Chief Executive Officer. This role is critical to ensuring the smooth and efficient operation of the CEO's demanding schedule and key strategic initiatives. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and thrive in a fast-paced, virtual environment. You will act as a gatekeeper, a logistical wizard, and a trusted confidante, managing a wide array of administrative and personal tasks.

- Manage complex calendar scheduling, including prioritizing appointments, meetings, and travel arrangements for the CEO.
- Coordinate domestic and international travel, including flights, accommodations, visas, and detailed itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents with meticulous attention to detail.
- Screen and prioritize incoming communications, emails, and calls, directing them to the appropriate parties.
- Conduct research on various topics as requested by the CEO, summarizing findings concisely.
- Organize and manage virtual meetings, including preparing agendas, taking minutes, and tracking action items.
- Liaise with internal teams and external partners to facilitate seamless communication and project progression.
- Handle confidential information with the utmost discretion and integrity.
- Manage expense reporting and reconcile corporate credit card statements.
- Assist with personal errands and appointments as needed, maintaining a high level of professionalism.
- Anticipate the CEO's needs and proactively address potential issues before they arise.
- Maintain organized digital and physical filing systems.
- Support the CEO in preparing for board meetings, investor relations, and other high-level engagements.
- Develop and maintain strong working relationships with key stakeholders across the organization and externally.
- Continuously seek opportunities to improve administrative processes and efficiency within the remote work structure.
- Proven experience as an Executive Assistant, Senior Administrative Assistant, or similar role, supporting C-level executives.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities effectively in a remote setting.
- Proficiency in virtual collaboration tools (e.g., Zoom, Microsoft Teams, Slack) and standard office software (Microsoft Office Suite, Google Workspace).
- Excellent written and verbal communication skills, with a polished and professional demeanor.
- High level of discretion and ability to handle confidential information.
- Proactive problem-solver with a keen attention to detail.
- Ability to work independently and anticipate needs without constant supervision.
- Experience with travel booking and expense management systems.
- A bachelor's degree is preferred, but extensive relevant experience will be considered.
- Adaptability and resilience in a rapidly changing startup environment.
- Demonstrated ability to build rapport and trust with individuals at all levels.
