Job Title: Document Control Specialist

Location: Jersey City, NJ

Duration: 12-Month Contract

Schedule: 40 hours per week, 8-hour shifts


Position Overview


We are seeking an experienced Document Control Specialist to support engineering and construction-related projects within a fast-paced technical environment. This role will be responsible for managing, tracking, filing, and distributing project documentation while ensuring compliance with document control procedures, version control requirements, and confidentiality standards.


The ideal candidate will have strong experience in records management, document control, scheduling, and coordination of engineering or construction documentation, along with proficiency in document management platforms such as Trimble (e-Builder) and SharePoint.


Key Responsibilities

  • Manage and maintain incoming and existing construction and engineering documentation.
  • Ensure proper document organization, version control, accessibility, and security.
  • Serve as the primary point of contact and task leader for document control activities.
  • Receive, track, log, distribute, and archive project documentation in accordance with established procedures.
  • Utilize Trimble (e-Builder) to manage incoming design documents, construction drawings, and other project-related records.
  • Handle confidential and privileged project documentation with a high level of discretion.
  • Coordinate and schedule document reviews among multiple technical disciplines and stakeholders.
  • Maintain comprehensive databases of incoming and outgoing project documents and review activities.
  • Generate status reports detailing document submissions, review progress, pending actions, and project metrics.
  • Upload review comments, memoranda, and supporting documentation into project management systems.
  • Support engineering and construction teams by ensuring accurate document tracking and timely processing.
  • Assist with records retention and transfer of finalized documentation according to organizational requirements.


Required Qualifications

  • Minimum 5–10 years of experience in document control, records management, project coordination, or scheduling within an engineering, architectural, construction, infrastructure, or related environment.
  • Proven experience handling engineering drawings, construction documents, technical records, and confidential documentation.
  • Experience serving as a document control lead or task leader overseeing document workflows and tracking processes.
  • Strong understanding of document management procedures, version control, and records retention practices.
  • Experience coordinating document reviews across multiple departments or technical disciplines.
  • Advanced proficiency with Microsoft Office Suite.
  • Experience using SharePoint, Trimble (e-Builder), or similar document management systems.
  • Excellent organizational, communication, and time-management skills.
  • Strong attention to detail with the ability to maintain accuracy in a high-volume environment.
  • Ability to work independently, prioritize tasks, and meet deadlines with minimal supervision.


Preferred Background

Candidates with experience supporting transportation, infrastructure, engineering consulting, construction management, architectural, or public works projects are highly encouraged to apply.
