Our client is seeking a highly organized, proactive, and experienced Executive Administrative Assistant to provide comprehensive remote support to senior leadership. This is a fully remote position, offering the flexibility to work from anywhere while playing a crucial role in ensuring the smooth and efficient operation of our client's executive functions. You will be responsible for managing complex calendars, scheduling and coordinating meetings across multiple time zones, making travel arrangements, preparing agendas, and taking detailed minutes. The ideal candidate will possess exceptional communication and interpersonal skills, a keen eye for detail, and the ability to anticipate needs and proactively solve problems. Responsibilities include drafting correspondence, preparing reports and presentations, managing confidential information with utmost discretion, and acting as a liaison between executives and internal/external stakeholders. Proficiency in office productivity software, virtual collaboration tools, and a strong understanding of remote work best practices are essential. This role requires outstanding organizational and time-management abilities, a high level of professionalism, and the dedication to provide exceptional support in a dynamic, fast-paced virtual environment. The ability to multitask effectively, prioritize tasks, and maintain a high level of accuracy is critical.

Responsibilities:
  • Manage and maintain complex executive calendars, ensuring optimal scheduling and conflict resolution.
  • Coordinate and schedule internal and external meetings, including virtual conferences, ensuring all participants have necessary information.
  • Prepare meeting agendas, materials, and take accurate minutes, distributing them in a timely manner.
  • Arrange domestic and international travel, including flights, accommodation, and ground transportation.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Manage and organize electronic and physical files, ensuring confidentiality and accessibility.
  • Act as a primary point of contact for internal and external communications, screening calls and visitors.
  • Conduct research and compile data for special projects as needed.
  • Proactively identify and address potential issues or conflicts before they arise.
  • Support the implementation and utilization of virtual collaboration tools and processes.
  • Maintain a high level of professionalism and discretion in handling sensitive information.

Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of 5 years of experience as an Executive Administrative Assistant, supporting C-level executives.
  • Proven experience managing complex calendars and international travel arrangements.
  • Exceptional organizational, time management, and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Familiarity with virtual collaboration tools (e.g., Zoom, Microsoft Teams, Slack).
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and a proactive, resourceful approach.
  • Ability to handle confidential information with integrity and discretion.
  • Demonstrated ability to work independently and effectively in a remote, self-managed environment.
