Our client is seeking a highly organized, proactive, and detail-oriented Remote Executive Administrative Assistant to provide comprehensive support to their senior leadership team. This fully remote position offers the flexibility to manage critical administrative functions from your home office, ensuring seamless operations and executive efficiency. The ideal candidate will possess exceptional communication, organizational, and multitasking skills, with a proven ability to anticipate needs and manage confidential information with the utmost discretion. You will be responsible for a wide range of administrative tasks, including managing complex calendars, scheduling meetings and appointments, coordinating travel arrangements (domestic and international), preparing reports and presentations, and handling correspondence. This role requires meticulous attention to detail, proficiency in office software suites, and the ability to manage multiple priorities effectively in a fast-paced virtual environment. You will act as a key point of contact for internal and external stakeholders, demonstrating professionalism and a commitment to providing high-level support. Strong problem-solving abilities and a proactive approach to identifying and resolving potential administrative challenges are essential. We are looking for an individual who is tech-savvy, adaptable, and dedicated to ensuring the smooth functioning of executive operations from a remote setting.

Key Responsibilities:
  • Manage and maintain complex calendars for senior executives, coordinating meetings and appointments across multiple time zones.
  • Arrange and coordinate all aspects of executive travel, including flights, accommodations, and itineraries.
  • Prepare, edit, and proofread documents, reports, presentations, and correspondence.
  • Handle incoming and outgoing communications, including emails and phone calls, in a professional and timely manner.
  • Organize and maintain electronic and physical filing systems, ensuring confidentiality.
  • Conduct research and gather information as needed for various projects and meetings.
  • Assist with the preparation of budgets and expense reports.
  • Serve as a liaison between executives and other internal/external parties.
  • Anticipate the needs of executives and proactively address potential issues.
  • Manage special projects as assigned.
Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of 5 years of experience as an Administrative Assistant, Executive Assistant, or in a similar role, supporting senior-level management.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Proven ability to multitask and prioritize tasks effectively in a remote environment.
