Senior Administrative Assistant - Remote First

Our client is seeking a highly organized and proactive Senior Administrative Assistant to join their dynamic team. This is a fully remote position, offering the flexibility to work from anywhere in the US. The ideal candidate will possess exceptional communication and multitasking skills, with a keen eye for detail. You will be responsible for managing calendars, coordinating meetings, preparing reports, and handling correspondence with a high degree of professionalism. This role requires proficiency in various office software suites and the ability to work independently and manage time effectively.

Responsibilities:
  • Manage complex and dynamic calendars for multiple executives.
  • Coordinate and schedule meetings, ensuring all participants have necessary information and resources.
  • Prepare agendas, take minutes, and distribute action items.
  • Draft, proofread, and edit correspondence, reports, and presentations.
  • Manage travel arrangements, including flights, accommodation, and itineraries.
  • Maintain organized electronic and physical filing systems.
  • Serve as a point of contact for internal and external stakeholders.
  • Assist with special projects as assigned.
  • Onboard new remote team members, providing necessary information and resources.
  • Ensure seamless communication flow across different time zones.
Qualifications:
  • Minimum of 5 years of experience as an Administrative Assistant or in a similar role.
  • Proven experience supporting multiple executives simultaneously.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Experience with video conferencing tools (e.g., Zoom, Microsoft Teams).
  • Ability to work independently with minimal supervision in a remote environment.
  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
